7 underutilised Microsoft 365 apps for business

Many organisations only scratch the surface of Microsoft 365’s capabilities. You might have purchased it for email, cloud storage, and Teams, and left other features on the back burner. In reality, Microsoft 365 offers far more than these foundational applications. Are you making the most of the powerful apps at your disposal?

Understanding what you can access in Microsoft 365 reveals opportunities to improve productivity, reduce administrative burdens, and foster a collaborative and engaged modern workplace. Here are the apps we most often recommend to our customers.

1. SharePoint

Many of us know SharePoint as a company document storage solution. However, it is much more than that; it can also become your intranet and company portal. With SharePoint, you can create customised sites for various teams and departments to provide everyone with access to the resources needed to complete their work. Additionally, you can use it to share news, updates, and announcements with your entire organisation.

An intranet or company portal delivers the following benefits:

  • Improved internal communication and collaboration
  • Promotes knowledge sharing in your organisation
  • Connects and engages employees

SharePoint is also highly customisable. You can tailor it to fit your organisation’s specific needs, from creating custom workflows to developing unique applications to support business processes.

2. Planner and To Do

Task management drives business productivity. To support this, Microsoft 365 offers two powerful tools: Planner and To Do. Both tools help individuals and teams stay organised and manage workloads.

Microsoft Planner:
  • Visual organisation: Teams can create plans, organise and assign tasks, set deadlines, and track progress with visual dashboards.
  • Collaboration: Comment on tasks, attach files and update statuses to keep everyone on the same page.
  • Integration: Planner integrates with Microsoft Teams, Outlook, and other Microsoft 365 apps.
Microsoft To Do:
  • Personal task management: To Do supports task management at the individual level. Users can create lists, set reminders, and prioritise tasks.
  • Daily planning: Users can plan their day by selecting key tasks to focus on using the My Day feature.
  • Sync across devices: Tasks sync across all devices to keep everyone’s to-do lists updated.

3. Lists

Your team can use Microsoft Lists to track information and organise work, whether managing an asset, tracking issues, or creating custom lists for specific business needs. With the ability to create, share, and track lists from any device, Lists keeps information accessible and up-to-date.

Customisation is among Microsoft Lists’ key strengths. Team members can tailor views and forms to fit their needs, simplifying data organisation and management. Additionally, Lists integrates with Power Automate and Power Apps to enable automation and custom application development.

4. Clipchamp

Clipchamp is a video editing app that makes video creation accessible to everyone, even those with little or no editing experience. With Clipchamp, you can combine videos, images, and audio files, add text and effects, and save the finished product to your computer or cloud storage.

Clipchamp’s key features include:

  • User-friendly interface: Create professional-looking videos with an intuitive drag-and-drop interface.
  • Stock library: Access a library of stock videos, music, and graphical elements to enhance your videos.
  • Integrations: Clipchamp integrates with OneDrive, SharePoint, and other Microsoft 365 apps to provide a smooth experience from creation to sharing.
  • Accessibility: Use Clipchamp on various devices, including Windows 10 and 11, Edge, and Chrome browsers.

Clipchamp makes video editing straightforward and accessible, whether creating marketing videos, training materials, or social media content.

5. Bookings

Simplify scheduling and appointment management with Microsoft Bookings. This is a particularly useful tool for businesses relying on client appointments, such as medical offices, consultancies, and service providers.

Setting up a booking system can be a frustrating element of getting business moving. Bookings makes it possible to create a straightforward and user-friendly online page for customers to book appointments with specific staff members. To minimise the chances of no-shows, Bookings also sends automated notifications to help customers keep their appointments.

Additionally, the Bookings mobile app allows your business to manage bookings and view customer information from anywhere, providing flexibility and convenience for your team. Integration with Microsoft Teams and Outlook synchronises appointments across calendars, preventing double bookings and missed appointments.

6. Loop

Teams can think, plan, and create using Microsoft Loop’s flexible canvas and portable components that sync across different applications. Loop includes three main elements:

  • Loop Pages users can create and organise content in a whiteboard-like manner with a flexible and intuitive interface. Teams can collaborate and share information or create tables, lists, and other content for reuse across multiple pages.
  • Loop Workspaces provides a centralised hub for project collaboration. Teams can share resources such as files, calendars, and tasks, accessing all necessary information in one place.
  • Loop Components are reusable pieces of content, such as tables, charts, and lists, that people can insert into Loop Pages. These Components can be customised and styled to match project needs, providing a professional look.

Integrating Loop into your workflow enhances real-time collaboration, streamlines project management, and fosters organisational creativity and innovation.

7. Viva Learning

A 2022 Microsoft Work Trend Index found that 76% of people said they would stay at their company longer if they had more learning and development support. Viva Learning helps you address this expectation with a customisable, on-demand learning solution integrated within Microsoft Teams. Organisations can curate and share learning content from internal resources and external providers like LinkedIn Learning.

With Viva Learning, your team gains the following:

  • Centralised learning hub: Discover, share, recommend, and track learning activities within the familiar Teams environment.
  • Integration with other tools: Viva Learning integrates with Microsoft 365 services, making it easy to embed learning into workflows.
  • Personalised learning: A personalised view of learning content tailored to people’s interests and career goals.
  • Enhanced employee development: Viva Learning enables continuous learning and skill development without the need to leave the Teams app.

By embedding learning into everyday work processes, Viva Learning helps increase the usage and adoption of Microsoft 365 services, driving individual and organisational growth.
