Working with Follow Up flags in Outlook

You can flag emails to create tasks that remind you to follow up with them. By flagging email messages, you can track responses to messages that you send. You can also make sure that you follow up on messages that you receive. In either case, you can include a reminder alert.

Sending email with flag to remind recipients

When you need a timely response to a message, flag the email by following these steps:

  1. Before sending a message, click Follow Up.

  2. Select Custom from the options.

  3. From the Custom dialog box, tick the Flag for Recipients box and select a flag in the Flag to list.

  4. Click OK to proceed.
  5. The flag text that recipients receive appears in the InfoBar.

Flag a received message

You can flag a message that you receive to remind yourself to follow up or take action later. Follow these steps to flag a received message:

  1. Select a message, then click Tags.
  2. Under Tags, click Follow Up.

  3. Choose a flag.

Shortcut: Hover over your mouse on an email, click the flag icon and it will assign the Today flag.

How to add a reminder

If a visual flag icon isn’t enough, you can add an audio reminder and alert message.

  1. Select the flagged item then click Tags.
  2. Click the Follow Up button then select Add reminder.

  3. Choose a date, time, and sound in the Reminder section.

To change flags

Once an item has been flagged for follow up, you can change it to another flag by following these steps:

  1. Select the flagged item then click Tags to expand.
  2. Click Follow Up then select a different flag. The due date will be changed.

Shortcut: Right-click the flag on the email and select a new flag from the menu.

How to remove a flag

When you no longer need a task or reminder to follow up on an email, simply remove the flag through these steps:

  1. Select a flagged item then click Tags.

  2. Click Follow Up then select Clear Flag.
