How to share SharePoint files or folders

You may share files you store on a SharePoint site with people who don’t have access to the site. When you share files and folders, you can see whom a file or folder is shared with, change permission, and stop sharing SharePoint files or folders at any time. You can also decide whether to let people edit or just view them.

Share a file or folder

Follow these steps to share files or folders in SharePoint:

  1. Select the file or folder then click Share.
  2. Click the arrow to select how you want to share your files.
  3. Click Apply to confirm.
  4. Type the name, group, or email you wish to share your file or folder with. You may then select whether users Can edit or Can view the file or folder.
  5. Click Send. The recipient will get an email with the link to the file or folder.

Options for Who would you like this link to work for vary based on admin settings:

  • Anyone with the link – gives access to anyone who receives this link whether it’s from you or forwarded from someone else. This may include people outside of your organization.

  • People in with the link – gives access to anyone in your organization who has the link access to the file, whether they receive it directly from you or forwarded from someone else.

  • People with existing access – can be used if you just want to send a link to somebody who already has access.

  • Specific people – gives access only to the people you specify, although other people may already have access. If people forward the sharing invitation, only people who already have access to the item will be able to use the link.

Get a link to a file or folder that you can copy

If you like to share the link to your file or folder on a text message or on a website, you may follow these steps.

  1. Select the file then click Copy link.
  2. You may choose from the Link settings as to who would you like the link to work for.
  3. Click Copy then paste the link wherever you want.
