Check out and check in a file on SharePoint

The check out option is available in all SharePoint libraries. You may use it to prevent other users from making changes at the same time and seeing your changes in a file before you are ready to show them.

How to check out a file

You can check out one or more files at a time.

  1. Open the library with the file you want to check out.

  2. Select the file then click the ellipsis () and select Check out.
  3. When a file is checked out, the document’s icon will have an arrow over it.

Once the document is checked out, hover over your mouse and you will see a notice that it is checked out so others cannot edit it.

 

How to check in a file

  1. Open the library then select the file you want to check in.

  2. Click the ellipsis () then select Check in.
  3. Leave a comment (e.g., note the change that you made on the document) then click Check in.

Check to be sure you saved changes on the document before checking in. Since SharePoint in Microsoft 365 leaves the document checked out and nobody else can edit it, discard the check out if you don’t want changes made.

How to discard a check out

  1. Open the library then select the file.

  2. Click the ellipsis () then click Discard check out.
  3. Select Yes to clear the check out.
